Privacy Policy

Last updated: May 5, 2026

1. Overview

Voxtera AI ("we", "us", or "our") operates the Voxtera AI platform, including the website at voxteraai.com and the Voxtera AI desktop application (collectively, the "Service"). This Privacy Policy explains how we collect, use, and protect your information when you use our Service.

By using Voxtera AI, you agree to the collection and use of information as described in this policy.

2. Information We Collect

Account information: When you register, we collect your name, email address, and password (stored as a secure hash). If you sign in with Google, we receive your name, email, and profile picture from Google.

Usage data: We collect information about how you use the Service, including session activity, feature interactions, and performance metrics. This helps us improve reliability and user experience.

Interview session data: When you use the Interview Copilot or Mock Interview features, audio is processed in real-time to provide transcription and AI coaching. Transcripts are stored to allow you to review past sessions.

Resume data: If you upload a resume, that content is stored securely and used only to personalize your interview coaching experience.

Payment information: Payments are processed by Stripe. We do not store your credit card number or payment details on our servers.

3. How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Personalize interview coaching based on your resume and session history
  • Process payments and manage subscriptions
  • Send transactional emails (account verification, billing receipts)
  • Detect and prevent fraud or abuse
  • Respond to support requests

4. AI and Your Data

Your interview transcripts, resume data, and session content are used solely to deliver the Service to you. We do not use your personal data to train AI models. Your content is never shared with or sold to third parties for marketing or data-training purposes.

AI responses are generated using third-party large language model APIs (Anthropic). Inputs sent to these APIs are governed by their respective data processing agreements. We do not send personally identifiable information beyond what is required to generate your coaching suggestions.

5. Data Retention

We retain your account data for as long as your account is active. Interview transcripts and session data are retained for 12 months by default. You can delete individual sessions or all session data at any time from your Privacy settings.

If you delete your account, all associated personal data is permanently removed within 30 days, except where we are legally required to retain records (e.g., billing records for tax purposes).

6. Sharing of Information

We do not sell your personal data. We may share information with:

  • Service providers: Stripe (payments), AssemblyAI (audio transcription), Anthropic (AI responses), and hosting infrastructure providers — all under data processing agreements.
  • Legal requirements: When required by law, regulation, or valid legal process.
  • Business transfers: In the event of a merger or acquisition, your data may transfer to the successor entity.

7. Security

We implement industry-standard security measures including encryption in transit (TLS), encrypted storage, and access controls. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security, but we take your data protection seriously.

8. Cookies and Tracking

We use cookies and similar technologies to maintain authentication sessions and analyze usage patterns via Google Analytics and Google Tag Manager. You can disable cookies in your browser settings, though this may affect your ability to sign in.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to certain processing of your data
  • Data portability (export your data)

To exercise any of these rights, contact us at privacy@voxteraai.com.

10. Children's Privacy

The Service is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice in the Service. Your continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
